Main Responsibilities and Accountabilities

Main Purposes of this Position:

The Project Coordinator will work as part of a multidisciplinary team for a tele-training project, called Project ECHO: Age Positively, funded by ViV Healthcare (Education Grant). The tele-training platform brings together healthcare providers (clinicians, allied health workers, clinical administrators) and community members who are responsible or interested in providing clinical care for people living with HIV in the Asia Pacific region to build capacity within the region. This may include healthcare providers in infectious disease, geriatric medicine, rehabilitative medicine, primary care, nutrition, pharmacy, etc. The program commenced in September of 2024 and is currently ongoing. A session is held monthly and each session lasts approximately 60-90 minutes and will end in August of 2025.

Project ECHO (Extension for Community Healthcare Outcomes) is a popular tele-training program that utilises a structured, online learning platform to enable the sharing of best practices and understanding of evidence-based guidelines with an audience invested in improving their patients’ clinical care and health outcomes. Project ECHO uses a “hub and spoke” model to link non-specialist clinicians in the community setting “spokes” with specialists at academic or speciality “hubs.” A 1.5-minute video describing Project ECHO is available here.

The project coordinator takes the lead on project-related activities and coordination between principal investigators, didactic leads, hub members, case presenters, project consultants, community partners, and Continuous Professional Development (CPD) awarding bodies from a wide range of countries in the Asia-Pacific region. The coordinator assists with project planning and design and manages project-related data. The coordinator is also responsible for the daily operations of the ECHO-related activities and ensures project activities are implemented in a timely and highly accurate manner.

Main Responsibilities and Accountabilities:

  1. Carry out and oversee the implementation of ECHO-related activities, including budget management, monitoring, evaluation and reporting.
  2. Ensure all preparations (pre-, within, and post-ECHO session) for each ECHO session are implemented in a timely, organized and accurate manner.
  3. Develops forms and questionnaires for session-related data collection, employs basic data analysis, generates and interprets data in the form of charts and graphs.
  4. Recruit and manage individuals to participate in project-related activities, such as onboarding participants on the ECHO platform*, sending out various surveys, issuing certificates of attendance, and other activities.
  5. Produce and disseminate announcements to support the recruitment of participants in the project, including project flyers and cold-emailing
  6. Update CPD-awarding bodies regarding attendance and CPD-points awarded
  7. Coordinating and communicating with didactic leads, hub members and case presenters to ensure all ECHO-related activities in the session are well-planned and implemented
  8. Works independently and has strong communication skills, particularly emailing.
  9. Knowledgeable and experienced in using online training tools on Zoom, Google-related applications (Google Drive, Slides, Docs, Sheet, Form), Canva and survey-related tools.

Experience and Qualifications

Required Skills Qualifications:

  • Ideal candidates should hold at least a bachelor’s degree in the social-behavioural or healthcare science field (e.g., Public Health, Psychology, Medicine)
  • Must be fluent in English
  • Ability to work independently and efficiently
  • Ability to be proactive, quickly problem solve and work collaboratively
  • Ability to multi-task and prioritize tasks, attention to detail, strong work ethic, and flexibility
  • Ability to communicate accomplishments and project barriers to a multidisciplinary team
  • Ability to learn via training, project management, data management, etc.
